This Baker Service Agreement ("Agreement") is entered into between Frosted Flix ("Company," "we," "us," or "our") and the individual or business entity registering as a baker on the Frosted Flix platform ("Baker," "you," or "your"). By completing the baker application, accessing the Frosted Flix dashboard, or delivering Frosted Flix-powered services to clients, you agree to be legally bound by all terms set forth in this Agreement.
Frosted Flix is a technology platform that enables bakers to offer edible QR code video guestbook services to their clients. The platform generates unique QR codes that are printed onto food items using edible ink. Guests scan these codes at events to record short video messages, which are stored and made available to the event host through a private digital portal.
As a Frosted Flix-authorized baker, you are solely responsible for the quality, food safety, and scannability of all edible QR codes you produce. You agree to:

You are responsible for entering accurate event details including event name, host name, host email address, and event date. Frosted Flix is not responsible for misdirected magic link emails, incorrect event names displayed on the guest recording page, or any consequence resulting from data entry errors made by the baker.
Frosted Flix is an internet-based software service. By using the platform, you acknowledge and accept that all internet-based services carry inherent risks, including but not limited to service interruptions, latency, data transmission failures, browser incompatibilities, and device-specific limitations. The following known risks are disclosed to you in full:
Each event package includes a fixed number of video submissions (the "submission limit"). Once the submission limit is reached, all subsequent guest scan attempts will display an error message and no further videos can be recorded until additional submission credits are purchased. Frosted Flix is not responsible for guests being unable to submit videos due to a reached submission limit. It is the baker's responsibility to communicate the submission limit to their client and to advise clients to purchase additional credits in advance of high-attendance events.
QR codes that are printed too small, with insufficient contrast, with bleeding or smeared edible ink, or on highly textured surfaces may fail to scan. These are physical printing failures outside the control of Frosted Flix's software platform. Frosted Flix assumes no liability for QR codes that fail to scan due to print quality issues. Bakers are required to test-scan a sample cookie from every batch prior to delivery.
Guests must have active internet access via Wi-Fi or cellular data to load the guest recording page and upload their video. A 60-second mobile video may be 50–150 MB in size. Slow, congested, or unavailable networks may result in failed or incomplete uploads. Frosted Flix is not responsible for video submissions that fail due to inadequate network conditions at the event venue. Guests whose uploads fail may retry from any location with internet access, as the guest link remains active for the duration of the event's storage period.
Event activation is contingent on successful payment processing and webhook delivery from our payment provider. In rare cases, a completed payment may experience a delay in webhook delivery, resulting in an event temporarily showing as inactive. Bakers must confirm that their event shows as "paid" and "active" in the dashboard before printing any cookies. If an event does not activate within 15 minutes of payment completion, contact Frosted Flix support at info@frostedflix.com immediately.
If a baker prints QR codes associated with an incorrect event ID, there is no technical recovery short of reprinting the affected items. Always verify the event name and ID shown in the QR code download screen before printing. Frosted Flix is not responsible for costs incurred due to printing the wrong QR code.
The guest recording page uses standard browser APIs (MediaRecorder, getUserMedia) to access the device camera and microphone. While these APIs are supported on the majority of modern smartphones, some older devices, devices with camera permissions disabled at the operating system level, or managed/locked corporate devices may be unable to access camera functions. Frosted Flix does not guarantee universal device compatibility and is not liable for guests who are unable to record due to device or browser limitations.
Frosted Flix may experience scheduled maintenance, unscheduled outages, third-party service failures (including but not limited to our database provider, cloud storage provider, payment processor, and email service provider), or other interruptions that temporarily render the platform unavailable. Frosted Flix does not guarantee 100% uptime and is not responsible for events affected by service interruptions. Where technically feasible, Frosted Flix will provide advance notice of scheduled maintenance.
Videos submitted through the Frosted Flix platform are transmitted over encrypted HTTPS connections and stored in private, access-controlled cloud storage. However, no internet transmission or electronic storage system is completely secure. Frosted Flix employs industry-standard security practices but cannot guarantee absolute security of transmitted or stored data.
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, FROSTED FLIX, ITS OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, PARTNERS, SUPPLIERS, AND SERVICE PROVIDERS (COLLECTIVELY, "FROSTED FLIX PARTIES") SHALL NOT BE LIABLE FOR:
IN ALL CASES WHERE FROSTED FLIX IS FOUND TO HAVE LIABILITY, THE MAXIMUM AGGREGATE LIABILITY OF FROSTED FLIX TO YOU FOR ANY CLAIM ARISING OUT OF OR RELATING TO THIS AGREEMENT OR THE FROSTED FLIX PLATFORM SHALL NOT EXCEED THE TOTAL FEES PAID BY YOU TO FROSTED FLIX FOR THE SPECIFIC EVENT OR SERVICE GIVING RISE TO THE CLAIM IN THE THREE (3) MONTHS PRECEDING THE DATE OF THE CLAIM.
This limitation applies regardless of the form of action, whether in contract, tort (including negligence), strict liability, or otherwise, even if Frosted Flix has been advised of the possibility of such damages.
Event package fees paid by bakers are non-refundable once an event has been activated and a QR code has been generated, except in the following circumstances:
In qualifying cases, Frosted Flix's maximum refund obligation is limited to the fee paid for the specific event package, not to exceed the original purchase price. No refunds will be issued for partial service availability, reduced submission counts due to network issues, or any issue attributable to baker error, print quality, or third-party services.
Frosted Flix does not have a direct financial relationship with your clients (the event hosts). Any refund obligations you have to your clients are governed solely by the agreement between you and your client. Frosted Flix is not a party to that agreement and assumes no liability or obligation to your clients. You agree not to represent to clients that Frosted Flix will provide refunds directly to them.
By entering into this Agreement, you represent and warrant that:
You acknowledge that the Frosted Flix platform may be used to collect video content submitted by third parties (guests) who are not party to this Agreement. You agree to:
Frosted Flix complies with all applicable laws regarding the reporting of CSAM and other illegal content, including mandatory reporting to the National Center for Missing and Exploited Children (NCMEC) and relevant law enforcement authorities.
You agree to indemnify, defend, and hold harmless the Frosted Flix Parties from and against any claims, liabilities, damages, losses, costs, and expenses (including reasonable attorneys' fees) arising out of or relating to:
Frosted Flix retains all right, title, and interest in and to the Frosted Flix platform, technology, trademarks, trade names, and all associated intellectual property. This Agreement does not grant you any ownership interest in the Frosted Flix platform. You are granted a limited, non-exclusive, non-transferable license to use the Frosted Flix platform solely for the purpose of delivering Frosted Flix-powered services to your clients in accordance with this Agreement.
You grant Frosted Flix a limited license to use your business name and general service description for the purpose of listing your business in the Frosted Flix baker directory and marketing materials, subject to your right to opt out by contacting info@frostedflix.com.
This Agreement is effective upon your acceptance and continues until terminated by either party. Frosted Flix reserves the right to suspend or terminate your account and access to the platform at any time, with or without notice, for violation of this Agreement, illegal activity, non-payment, or any conduct that Frosted Flix determines, in its sole discretion, is harmful to the platform, other users, or the public.
You may terminate this Agreement at any time by ceasing use of the platform and contacting info@frostedflix.com to request account closure. Termination does not entitle you to any refund of previously paid fees except as described in Section 5.
Frosted Flix reserves the right to modify this Agreement at any time. Material changes will be communicated via email to the address on file with your account at least 14 days prior to the effective date of the change. Your continued use of the Frosted Flix platform after the effective date of any modification constitutes your acceptance of the modified Agreement.
This Agreement shall be governed by and construed in accordance with the laws of the United States and the state in which Frosted Flix is registered, without regard to conflict of law principles. Any dispute arising out of or relating to this Agreement shall first be subject to good-faith negotiation between the parties. If negotiation fails, disputes shall be resolved through binding arbitration in accordance with the American Arbitration Association rules. Class action claims are expressly waived.
This Agreement, together with the Frosted Flix Privacy Policy and Acceptable Use Policy available at frostedflix.com/legal, constitutes the entire agreement between you and Frosted Flix with respect to your use of the platform and supersedes all prior agreements, representations, and understandings. If any provision of this Agreement is found to be unenforceable, the remaining provisions shall continue in full force and effect.
